Global Dashboard - Metrics for documentation processes

Take Away: This article presents an overview of the global dashboard and the related metrics for all regions, specifically for documentation teams. This helps the user to understand and gain more knowledge on the metrics, measures and quality standards used for content management, portal management, elearning systems teams.


A dashboard is defined as a central location for providing all information in one place. Dashboard is generally used by the management to track productivity, quality, metrics with charts/graphs and utilization of the employees of their organization. This helps the organization to understand the inflow of work and how much of work being completed based on the current workload including the quality and producitivity metrics. Dashboards might be differing based on the company's requirements.

For teams working on content management/portal management/elearning, they might be spread across various regions. It becomes highly necessary to concentrate towards the metrics from various teams across the globe. This can be termed as a global dashboard in general. The dashboard may have an excel sheet format or can be in the form of a custom built software application. Also, there are various tools for building such global dashboards. Dashboard in an excel is simple and easy to understand with basic understanding of formulas and calculations.

Productivity: This includes the total number of hours spent by the employee towards the documentation activities. This can be captured by linking excel with sharepoint. The data can be pulled from sharepoint if it is being captured in sharepoint tool. Once the productivity data is being captured, it helps and becomes easy to calculate average percentage for the respective employees.

Utilization: This is a measure taken against the productivity data. Productive hours vs the number of hours he/she has worked in that week helps to calculate the utilization percentage of the employee. The out of office hours and training hours need to be deducted from the total productive hours of the employee in order to determine the utilization percentage. Team utilization as a whole is calculated as an average once the utilization of each of the employees are available.

Quality: The quality process defines a set of quality metrics that include quality of the content, values obtained from site feedback, quality of images, etc. Each of these can be defined as separate quality metrics and can be captured thereby. Today, in most of the organizations, peer reviews are becoming more popular for tracking the quality of the work done.

Charts/Graphs: Graphs help the management to understand a whole lot of information at a single glance. Various graphs that can be shown in the dashboard are, Productivity, Quality, Utilization, break down of productivity data, average figures, etc.

Pivotting is an easier concept to use and manage in excel in order to perform the calculations for productivity and utilization. It is not required for the user to key in the formulas for doing the calculations or use if and else if conditions in excel sheets. The pivot tables are very simple and easy to use features available in excel that helps to do the calculations in the dashboard.

As people grow in the ogranization, it becomes difficult to track the data respective to the process/team. Hence, dashboard helps define those metrics and provides a way to capture and use them for the future.
